Is Your Bookkeeping Software Set Up Correctly?

As your business grows, your bookkeeping software should grow and adapt with it. We help clients who have been using the same setup for years, only to discover it is no longer supporting their business. The software itself is not usually the problem. It is how it has been set up and maintained over time.
If your bookkeeping feels more frustrating than helpful, it may be time to ask yourself: Is your bookkeeping system still working for you? Here are a few areas to review.
Whether you use Xero, Quickbooks, or another bookkeeping program, your setup should reflect how your business operates today. If your software was set up years ago and has never been reviewed, it may no longer be giving you the information you need.
The first thing to consider is whether or not you need to upgrade your subscription to a more robust level. Have your bookkeeping needs changed? Are you carrying inventory where you weren’t before? Are you operating in multi-currency now? These are just a few areas which may indicate that you require a different subscription level to be able to accurately report your day to day operations.
🔎Other Considerations:
To know if your software is actually working for you, here are a few areas to consider checking:
1. Are your bank rules still accurate?
The Risk: Old automation tools can misclassify your current transactions.
The Check: Review your active rules to ensure they still apply to your vendors.
The Fix: Delete rules for old software subscriptions you no longer use and set up new, more useful rules.
2. Is your chart of accounts still relevant?
The Risk: Business models change, but old expense categories stay forever.
The Check: Look for messy, generic buckets like "Miscellaneous" or "Uncategorized” that could be reduced by adding categories to reduce the urge to use the bucket accounts. Or perhaps there are categories that are no longer necessary and just cluttering up your chart of accounts.
The Fix: Merge duplicate accounts and archive categories that no longer fit.
3. Do your financial reports provide useful information?
The Risk: Stale reports lead to bad business decisions.
The Check: Review your Profit & Loss report and your Balance Sheet. Ask yourself if the reports clearly show where your business is making money, where expenses are increasing, and whether they help you make confident business decisions.
The Fix: Customize your dashboard to show clean, actionable data.
A bookkeeping system is not something you set up once and forget. As your business changes, your bookkeeping system should change with it. A review every now and then can help you save time, improve accuracy and efficiency, and give you better financial information to manage your business.
